POSTER SHARING SITE

At this year’s Conference we are introducing a new idea - a number of poster sharing sites will be set up on the lower ground floor near the entrance to the Exhibition.

There will be approximately 12 spaces available for use at six different time slots.

Organisations and individuals wishing to publicise or discuss an idea at one of these sessions are invited to apply to civic.office@northyorks.gov.uk using the attached pro-forma.

The “rules of engagement” however are important and are as follows:-

1.        If successful you will be allocated a designated time and date on our poster wall.

2.         An A4 sheet will go in all delegate packs (if possible we will also include information in the conference handbook) headed “Poster Sharing Sessions”.  This will list all the sessions, their timings and localities.

3.         Those organising a slot must provide a three sentence description of their session.

            4.        Organisers must recognise they may be inundated with delegates wanting to hear more or            get no takers!

5.         These sessions are primarily aimed at practitioners.  It is an opportunity for practitioners to share ideas based on research practice or locality experience.

6.         This is not a selling opportunity for commercial organisations.  However the Conference Planning Committee recognise the value of the independent sector at this event and that they may well have ideas that could be usefully shared.  Therefore commercial organisations are not excluded but in order to maintain quality all organisations will need to share an outline of their material with the Conference Organisers when submitting an application for consideration.

7.         The site available will accommodate a single poster in A1 size.  Ideas must be consolidated down into a single poster.  No ICT or gismos are allowed but you can of course use graphic pictures, colour, pens etc.

8.         The sites must be self-sufficient.  Presenters need to bring copies of additional material to take away.  The Conference Organisers will not copy this material nor will it provide blue-tac, sellotape or any other material.

9.         The host/presenter stand at their station for 30 minutes - probably presenting for around 20 minutes of these.

10.       You can set up your session up to 45 minutes before your time slot but must remove it and any of your material within 15 minutes of your session ending.  Any material not removed within that timescale will be removed.

11.       No organisation/individual can book more than one slot.

12.       The opportunity to run poster sessions is only available to delegates at the conference or exhibitors.  It is not open to individuals not registered already to attend the event via either of these routes.

 13.        An administration fee of £150 will be payable if your bid is successful.

These rules are necessary to allow the same opportunity for everyone who chooses to participate in this way.  If you wish to apply for a session please complete the attached proforma.
